Start with the lobby. You can do that today.

Visitor Assistant is yours to set up: make an account, write the questions your visitors answer, and open the check-in screen on a tablet. It is free to try and there is no card to enter. Voice Assistant and Autopilot we set up with you, because a telephone number and a private machine are not things a form can hand over while you wait.

Visitor check-in, in five steps

About half an hour of your time, most of it spent deciding what you want to ask people. Nothing is installed, and nobody needs a login except you.

  1. Make an account · two minutes

    Your name, your practice and an email address. The visitor assistant is switched on for every new account, so there is nothing to choose or buy before you can see it working.

  2. Write the questions your visitors answer · fifteen minutes

    You start from a standard set and make it yours: reword a question, reorder them, add your own, or retire one without losing the answers already given. This is the step worth taking time over, because it is the only part your visitors ever see.

  3. Open the check-in screen on a tablet · five minutes

    Any tablet with a browser and Wi-Fi. Enrol it once with a setup code and leave it on the desk. It is a web page, not an app to install, so an old iPad in a drawer is enough.

  4. Add your staff and print the poster · ten minutes

    Paste in your staff list with an email or a mobile for each. Print the poster with the QR code and put it by the staff door; from then on people sign themselves in and out from their own phones, with no app and no login.

  5. Say who hears about an arrival · five minutes

    Each person chooses email or text for themselves. Name who should be told when a visitor did not ask for anyone in particular, and you are finished — the next person through the door is a real check-in.

What you need from your side

All of it, and nothing else.

A tablet and Wi-Fi

Any tablet with a browser. A stand or a case that props it up on the desk helps; the screen itself is a web page, so there is nothing to install and no hardware to buy from us.

Your staff list

Names, and an email address or mobile number for each person who should hear that somebody has arrived. They do not need accounts, passwords or anything to install.

Half an hour, and a printer

Most of the half hour goes on the questions. The printer is for the staff poster with the QR code, and one sheet of paper is the whole of it.

Voice and Autopilot: these we set up with you

Not a sales preference. Each one needs something done on your behalf that a sign-up form cannot do while you wait, and we would rather say so than put a button on it that leaves you stuck.

Voice Assistant

We set it up with your hours, your greeting and the things it should know, then give you a test number. Ring it yourself, ask the awkward questions your callers ask, and tell us what it got wrong while we can fix the wording with you.

When you are happy, you forward your existing line — all the time, after hours only, or only when nobody picks up. Your number does not change, and you can undo the forwarding from your phone provider without asking us.

Autopilot Assistant

It runs on a private machine for your business alone, not a partition of a shared one. That isolation is the reason setting it up is a piece of work we do rather than a page you fill in, and it is a real cost we carry.

You choose which connections it gets — a mailbox, a calendar, a Drive, a repository — or none, in which case it still returns finished files for you to download. It prepares work and organises records; the figures, the wording and the filing decisions still want a person to review them.

Both keep the same shared Contacts list as the visitor assistant, so a caller and a visitor are one person rather than two records. Ask us what it would cost for your practice.
